Basic Terms and Conditions
All appointments for uninsured patients/private paying patients must be paid for at the time of booking for the appointment. Failure to do so will result in you losing the session. Please see our cancellation policy for more details.
If you are a new patient, you are required to complete the Registration Form (therapeutic agreement) prior to the first session. Failure to do so will result in you losing the agreed session.
Dr Antonietta Pirillo and her associates abide by a code of confidentiality between Psychologist/Practitioner and the Patient. Identifying information, such information includes name, address, biographical details and other description of a Patient’s life and the circumstances, which might result in identification of the Patient will be kept private. Any agreement between the said Psychologist/Practitioner and the Patient about disclosure may be changed by joint negotiation.
The Psychologist/Practitioner attending to the Patient may only be reached for the purposes of cancellations and rearrangements with regards to their appointment sessions and phoning out of session time is strongly discouraged. For more detailed Ts &C s please see below:
Patient Terms and Conditions
A. Jurisdiction
These terms and conditions are governed by and to be interpreted in accordance with English law. In the event of any dispute arising in relation to these ‘terms and conditions’ or any dispute arising in relation to Antonietta Pirillo whether in contract or tort or otherwise the English courts will have non-exclusive jurisdiction over such dispute.
B. Definitions
The ‘Therapist’, the ‘Practitioner’ or the ‘Psychologist’: Antonietta Pirillo or any of her associates
The ‘Patient’: You
The ‘Insurer’ or the Healthcare Provider: AXA, BUPA, AVIVA, ALLIANZ, CIGNA, WPA, NUFFIELD HEALTH, VITALITY HEALTH (PRUDENTIAL) and AETNA
‘Therapy’ is the time spent with the Psychologist/Practitioner who will apply their chosen method of therapy application and modality.
‘Modality’ is a model of study for therapeutic application. Psychodynamic Therapy is an example of a psychological modality.
The ‘Session’ is the booked time slot and arranged time working with the ‘Psychologist/Practitioner’.
The ‘Presenting Issue(s) or ‘Problem’ is what the Patient wants to work on with the Psychologist/Practitioner.
Goal: The ‘goal’ is the therapeutic goal created collaboratively with input from both the Patient and the Psychologist/Practitioner and is what the patient would like to achieve, as the desired outcome in therapy.
The ‘Desired Outcome’ is the desired result of the work that the Psychologist/Practitioner and the Patient work towards achieving.
C. Formation of agreement
After booking an appointment by either telephone or Email, you the Patient, in accepting the appointment, accept the following conditions for the appointment.
Booking: Appointments can only be made on the website by the Patient by choosing the agreed date/time. Booking errors may incur a £10 admin fee. If there are technical system issues encountered during the booking process, your appointment may be arranged/cancelled via an email to admin@psyconlineconsulting.com and your booking/cancellation will be rectified as soon as is able.
When making an appointment via the booking system, you will receive a booking confirmation contain a link to the session. All sessions are to be offered virtually via our practice management system; however, in exceptional circumstances or due to technical issues, alternative methods can be arranged (Zoom , Skype, Telephone).
You may book ahead all your sessions at your chosen time, or you may book one session at a time.
Insured patients new to the system will be required to leave their name, birthdate and authorisation code on the system. These details will be verified with your insurer 48 hours before your session time. If your details cannot be verified, you will be contacted to provide up dated information.
The Psychologist/Practitioner requires the Patient to be truthful and work in the best interests of the agreement between the Psychologist/Practitioner and the Patient. The Patient agrees to provide the Psychologist/Practitioner with all pre-session written work such as questionnaires or assessments the Psychologist/Practitioner will request and in the manner and format the Psychologist/Practitioner requires it. The Patient agrees to complete all the required tasking as issued by the Psychologist/Practitioner within the timeframe it was requested. The Patient also agrees to provide all written pre-session work to reach the Psychologist/Practitioner by email no later than 24hrs prior to the booked session.
Lateness: You are paying for the time with the Psychologist/Practitioner and you agree that arriving for the session and to the session location for your own session is fully your responsibility. The session will be terminated if the Patient arrives over 15 minutes late to an appointment and no refund will be given in any circumstances even if the Patient wishes to cancel the session due to emergency or unforeseen circumstances out of their immediate control, as the strict 48hr cancellation policy will still apply. If the Patient arrives late, the Patient will not receive an extension of the agreed time nor will they be offered or entitled to a rearranged session and all terms and conditions relating to conduct, session termination and working relationship will apply.
The Psychologist/Practitioner is not required under any circumstances to go beyond the arranged session finishing time and will terminate the session at the end of the arranged time. The Psychologist/Practitioner is not required to continue over the arranged time slot if the Patient hasn’t reached their desired outcome.
The Psychologist/Practitioner will use reasonable care and skill in providing the service that you choose. Every Patient is different and so every therapy session is different and there are no guarantees of successful results.
It is not the responsibility of the Psychologist/Practitioner to achieve the desired outcome for the Patient, the Patient takes full responsibility for achieving this and works with the help of the Psychologist/Practitioner.
The desired outcome as an achievement of the goal(s) cannot be guaranteed or promised to the patient by the Psychologist/Practitioner. It would be unethical to provide a guarantee for a Patient’s treatment of therapy, coaching or hypnotherapy.
In the small percentage of people that the therapy is unsuccessful for we do not offer a refund or part refund. Antonietta Pirillo or any of her associates do not accept any liability in relation to the therapy and modalities used in session and on the PsycOnline Consulting website. Antonietta Pirillo and her associates do not accept any liability in relation to any of the recordings or correspondence and it is up to the discretion of the user to determine if they are appropriate.
D. Pricing and Payment
All pricing below apply to BAC payments, for debit/credit card payments there will be an additional fee.
A one to one private Executive Coaching session for 50 minutes, is priced at £180
A one to one 50 minute uninsured/private psychological session is priced at £120
A one to one 50-minute insured psychological session will be covered by your insurer. Excess fess will be covered by the Patient and an invoice will be sent to the Patient accordingly
A one to one uninsured/private online and telephone psychological session is priced at £120 per 50 minutes
Concession rate apply to one to one remote 50 minute sessions for university students, priced at £95
A couples/family session or review (75 min.) ~ 180£
An initial assessment (individual person) (75 min.) ~ 180£
An initial assessment (couples/family) (90 min.) ~ 220£
A Specialist Autism Assessment ~ 1800£
A Specialist ADHD Assessment (adult) ~ 360£
A specialist ADHD Assessment (child) ~ 720£
A Supervision session at 50 minutes is priced at £95
A request for a psychological letter (1 page) written to your employer, university/school or GP via email or post, is priced at £45
A request for a psychological report is priced at £140 per hour
E. Refund and Cancellation Policies
‘Booked Sessions’ on the system by the Patient, by Antonietta Pirillo or any of her associates as requested by the Patient must be paid for in full before any time spent with the Psychologist/Practitioner can commence.
For standard session bookings, for you to receive a refund of all monies paid or to reschedule without losing all your monies paid, you must cancel in advance of 48hrs.
For initial assessments and ADHD assessments, for you to receive a refund of all monies paid or to reschedule without losing all your monies paid, you must cancel in advance of 1 week/5 working days.
For Autism Assessments, for you to receive a refund of all monies paid or to reschedule without losing all your monies paid, you must cancel in advance of 2 weeks/10 working days.
If you fail to make the payment within the times specified above prior to the session, that session is immediately made available to other Patients wishing to book including those on a waitlist for the soonest available appointment and so you are at risk of losing your booking. In such cases where you fail to pay within the timeframes specified and in advance it is your responsibility to confirm that the slot is still available with us before commencing to pay or you could risk losing it in accordance with the cancellation policy.
Non-Payment: If we do not receive payment we will choose to assume you do not wish to commit to the appointment and will cancel and/or give the appointment to another Patient. You will be required to rebook.
Refund
1. The Patient is eligible for a refund if the Patient cancels or rearranges prior to exactly 48hrs prior to the arranged standard session, 1 week/5 working days for initial assessment or ADHD assessments, 2 weeks/10 working days for Autism assessments. To avoid any doubt 48hrs is exactly 48hrs so in this example if a session is booked for Wednesday at 5pm the 48hrs prior to this session would be 5pm on the preceding Monday; the same rule applies to the other timeframes here specified for the other appointment types. The Patient will not receive a refund of any monies for any session cancelled within the timeframe allowed prior to a session. In all cases the Patient will effectively have paid for the session slot. If written cancellation is received within the timeframes allowed prior to the booked session the Patient has no claim to this session time and the Psychologist/Practitioner then reserves the right to offer that time slot to other Patients and may book that time slot with another Patient.
The Patient may not re-book that time slot once written cancellation has been received. The Patient may rebook a time that is next convenient for them, on the booking system online or directly with the Psychologist/Practitioner.
For Autism and/or ADHD assessments we allow up to a maximum of 1 rescheduled session and if the client fails to attend appointments or reschedule beyond this allowance, a further fee of 400£ must be paid before the session can take place.
No partial refunds are offered for incomplete Autism or ADHD assessments should the client decide not to engage or cannot proceed further with the assessment/session.
No partial refund is offered for Autism or ADHD assessments if the Psychologist/Practitioner do not receive all the information requested or if the client school or other organisation/informant fail to engage with the process or to provide the information requested.
Any refund is subject to a 15£ admin fee, which will be deducted from the total amount to be refunded.
2. The Psychologist/Practitioner reserves the right to terminate the session earlier than arranged. If the Psychologist/Practitioner and the Patient agree the problem has reached a satisfactory resolution of the problem that the Patient booked the session for, then the Patient will not receive a refund of any monies for the remaining time and the session will be finished early. You will be made aware of a realistic time frame based on previous appointments with other Patients and the Psychologist/Practitioner will arrange the appropriate time slot from the estimation according to previous experience. You will not be made to expect that the problem will require more time than the Psychologist/Practitioner deems necessary from previous experience with other Patients. Sometimes a Patient requires more time or less time than expected and this in most cases can only become known in a session when working with the Patient and Psychologist/Practitioner. If you are in any doubt or have any questions relating to the agreed time slot, you must raise the appropriate questions with the Psychologist/Practitioner prior to booking the arranged session. You are not entitled to any refund or any monies for any remaining time if a session finishes earlier than booked and arranged in any circumstances including those that are out of the control of the Psychologist/Practitioner or the Patient. Whether the session is ended earlier or extended, the consultation fee remains the same.
3. The Psychologist/Practitioner, Antonietta Pirillo, reserves the right to terminate a session without a refund if it is considered that you are a personal risk to anyone in your environment. The appropriate services will also be alerted in all cases of violence or personal threats. Vandalism, personal threats, verbal abuse or physical abuse is not tolerated and the session will be cancelled with immediate effect without refund of any monies for any time with the Psychologist/Practitioner or remaining time of the booked session. The Psychologist /Practitioner receives the right to protect the interests of the business and their personal safety and will terminate the session with the Patient if the business is compromised by the Patient in any way, without refund to the Patient.
4. The Psychologist/Practitioner reserves the right to terminate the session if the Therapy is not considered in the best interests of the Patient and the Psychologist/Practitioner/Practitioner reserves the right to not disclose the reason why and in these circumstances no refund will be given.
5. The length of the appointment is at the discretion of the Psychologist/Practitioner. Although scheduled for a specific length of time generally 50 minutes, if the Psychologist/Practitioner considers it is appropriate to end the session, the Psychologist/Practitioner reserves the right to do so. The Psychologist/Practitioner can terminate the session if they consider that it is not in your best interests to continue with the session and the Psychologist/Practitioner is not required to say the reason why.
6. When booking from outside the UK the appointment time and further communication regarding the appointment are in the time zone of your current location. There is an option for you to change the time zone during the booking process if required. If you have booked in the wrong time zone, the Psychologist/Practitioner cannot be responsible for the error. This will be counted as a missed session and payable by the Patient and not the Insurer if you are insured.
7. You may rearrange and rebook an appointment on the system before 48 hours to change the day/date and time and you may rebook your appointment as often as is necessary. If for some reason, you are unable to cancel or rebook before the 48-hour cancellation or rebooking period because there is an error on the system, you will be expected to inform Antonietta Pirillo at admin@psyconlineconsulting.com immediately. Failure to do so will be at the cost of the Patient.
8. Accepted methods of Payment
All one to one, executive coaching, private and supervision sessions are to be paid online at the time of booking your appointment. For payments, we use Stripe which is a secure mobile and online payment service which accepts all major debit and credit cards from customers worldwide.
F. Cancellation
Cancellation can be done by the Patient via the cancellation link contained in the original email confirmation at time of booking, with a minimum of 48 hours before a session for a refund in full. 48 hours is exactly 48 hours prior to the arranged time – e.g. an appointment arranged for 2pm Thursday must be cancelled by 2pm the Tuesday before. Any cancellations within the 48 hours period will incur session charge of monies paid. If a patient attempts to cancel a session before the 48-hour cancellation period and there is an error on the booking system, the patient is expected to contact Antonietta Pirillo immediately so that she may rectify the issue.
If a Patient fails to give 48 hours’ notice for their cancellation, they will not receive a refund for the booked session.
Rescheduling before the 48-hour deadline will allow fees to be carried over to the new appointment but under the same terms and conditions for cancelling.
Sessions booked and paid for, are held for a period of six months from the last session date and are not valid to use beyond that time frame.
Psychologist/Practitioner may terminate the working relationship with the Patient at the discretion of the Psychologist/Practitioner.
G. Confidentiality and Health & Safety
1. The Psychologist/Practitioner agrees to confidentiality between the Patient and the Psychologist/Practitioner. Antonietta Pirillo reserves the right not to disclose any session information to any third party even at the request of the Patient unless there is a written requirement to do so by law. Antonietta Pirillo reserves the right to inform the police or appropriate services of your condition and intentions relating to any information she consider appropriate to help them with their enquiries and for the interests of the public. This information may include session notes and recordings if she considers you a risk to yourself or to others.
2. You are not permitted to record the session on the phone or otherwise unless you have written consent by the Psychologist/Practitioner. The Psychologist/Practitioner also requires confidentiality of the Patient and in no circumstances is the Patient permitted to disclose written, recorded or distributed correspondence of the session, pre-session or post session. The correspondence and all therapy and coaching advice and application is only permitted to be used by the Patient for which it was issued and intended. All written and verbal communication is in context with the session and must not be used out of context. The relationship between the Patient and the Psychologist/Practitioner towards the desired outcome and/or Goal and hypnosis recordings if any and all relating correspondence by phone and in writing is strictly only for use of the Patient and the Psychologist/Practitioner. The Psychologist/Practitioner accepts no responsibility for the effecting use of material recorded or written for any person other than the Patient for which the material and correspondence was intended.
3. Any material shared is the intellectual property and copyright of Antonietta Pirillo. The Psychologist/Practitioner owns the rights to any recorded material created for the Patient and requires written permission for any recorded or written material to be used. The Patient is not permitted to copy, reproduce or display publicly or electronically any recording or correspondence between the Psychologist/Practitioner and the Patient or issued by the Psychologist/Practitioner to the Patient. The Patient agrees to use the material as directed and Antonietta Pirillo accepts no liability for the use of any written or recorded material.
H. Crisis support
Antonietta Pirillo does not have the facilities to offer crisis support.
If you, or someone you care about, needs urgent support or is a risk to themselves or others:
Contact your GP advising the receptionist that you need an urgent appointment OR attend Accident and Emergency.
If you feel unable to keep yourself safe and attend NHS services, phone 999.
Privacy Notice for Therapy Clients
You may be aware of new laws relating to General Data Protection Regulation (GDPR) that are in effect from 25 May 2018. The purpose of GDPR is to provide a set of standardised data protection laws across all EU member countries. This document sets out how PsycOnline Consulting and its associates comply with these laws.
Data Control
Antonietta Pirillo is the data controller for PsycOnline Consulting and its associates.
Associate psychologists and associate therapists taking on referrals with PsycOnline Consulting will be additional data controllers for the clients they work with directly and may have access to more data than Antonietta Pirillo due to the confidential nature of their therapy work with a specific client. In such cases, associates will be the primary data controller for those clients.
What personal data we process
PsycOnline Consulting collects and processes the following personal data from therapy clients:
● Personal data: basic contact information: name, address, email, contact number, video conference ID (if online therapy), and GP contact details.
● Sensitive personal data: Signed Client’s Therapy Agreement/Intake Form, therapy records (therapist notes, letters, reports and/or outcome measures).
● If you complete a web-based enquiry/registration/intake form, we will also collect any information you provide to us as well as your internet protocol (IP) address. This is automatically supplied by the website software used to offer the form. All web services used by PsycOnline Consulting are verified by themselves as GDPR compliant.
If you are referred by your health insurance provider, then we will also collect and process personal data provided by that organisation. This includes basic contact information, referral information, and health insurance policy number and authorisation for psychological treatment.
The lawful basis for processing personal data
PsycOnline Consulting has a legitimate interest in using the personal data and sensitive personal data we collect to provide health treatment. It is necessary for us to provide psychological therapy to clients.
We may also ask for information on how you found our service for the purpose of our own marketing research. No information you provide is passed on without your consent. We will never sell your information to others.
What we do with your personal information
At PsycOnline Consulting we take your privacy seriously. We will only use your personal information to provide the services you have requested from us.
If you do not provide the personal information requested, then we may be unable to provide a therapy service to you.
How long we store personal information
We will only store your personal information for as long as it is required. Basic contact information held on a therapist’s mobile phone is deleted within 6 months of the end of therapy.
The sensitive personal data defined above is stored for a period of 7 years after the end of therapy. After this time, this data is deleted at the end of each calendar year.
How your personal information is used
We use the information we collect to:
● Provide our services to you.
● Process payment for such services.
● Send you information about our services that might be of interest to you if you opted in during the registration process. You have the right to opt-out at any time, and request that your personal contact information is deleted to prevent future proactive contact from ourselves.
Who we might share personal information with
We hold information about each of our clients and the therapy they receive in confidence. This means that we will not normally share your personal information with anyone else. However, there are exceptions to this when there may be need for liaison with other parties:
● If you are referred by your health insurance provider, or otherwise claiming through a health insurance policy to fund therapy, then we will share appointment schedules with that organisation for the purposes of billing. We may also share information with that organisation to provide treatment updates.
● In cases where treatment has been instructed by a solicitor, relevant clinical information from therapy records will be shared with legal services as required and with your written consent.
In exceptional circumstances, we might need to share personal information with relevant authorities:
● When there is need-to-know information for another health provider, such as your GP.
● When disclosure is in the public interest, to prevent a miscarriage of justice or where there is a legal duty, for example a Court Order.
● When the information concerns risk of harm to yourself, or risk of harm to another adult or a child. We will discuss such a proposed disclosure with you unless we believe that to do so could increase the level of risk to you or to someone else.
What we will NOT do with your personal information
We will not share your personal information with third-parties for marketing purposes.
How we ensure the security of personal information
Personal information is minimised in phone and email communication. Sensitive personal information is collected and stored using our secure and GDPR-compliant practice management system. Sensitive personal data will be sent to you in an email attachment that is password protected or shared via a GDPR-compliant cloud system. Email applications use private (SSL) settings, which encrypts email traffic so that it cannot be read at any point between our computing devices and our mail server. PsycOnline Consulting will never use open or unsecure Wi-Fi networks to send any personal data.
Personal information is also stored on an office computer and on secure server owned by PsycOnline Consulting. These are password protected. Malware and antivirus protection is installed on all computing devices. Mobile devices are protected with a passcode/thumbprint scanner, mobile security and antivirus software.
Your right to access the personal information we hold about you
● You have a right to access the information we hold about you.
● We will usually share this with you within 30 days of receiving a request.
● There may be an admin fee for supplying the information to you but this is not the norm.
● We may request further evidence from you to check your identity.
● A copy of your personal information will usually be sent to you in a permanent form (that is, a printed copy).
● You have a right to get your personal information corrected if it is inaccurate.
● You can complain to a regulator. If you think that we haven’t complied with data protection laws, you have a right to lodge a complaint with the Information Commissioner’s Office.
PsycOnline Consulting reserves the right to refuse a request to delete a client’s personal information where this is therapy records. Therapy records are retained for a period of 7 years in accordance with the guidelines and requirements for record keeping by The British Psychological Society (BPS; 2000)[1]and The Health and Care Professions Council (HCPC; 2017)[2].
